For Scouts, parents & leaders

Your own page. Everything about you is on it.

Tap your name in the top bar and you land on your page. It holds how the troop reaches you, how you sign in, and how TroopPlanner behaves for you. It is worth five minutes when you first join.

1

Open your page

Your name sits in the bar across the top of every screen. Tap it. On a phone, open the menu first.

What you land on looks like the page a leader sees for any member, because it is the same page. This one is yours, so a few extra sections show up on it that nobody else gets.

2

Check the troop can reach you

Read the Contact Information box first. If the email address there is wrong, you will not get event reminders, a password reset, or a login link. Almost every "TroopPlanner never emails me" turns out to be this.

Then read Medical & Emergency Contacts. Allergies, medications and the two emergency contacts are what a leader reaches for on a campout, at the worst possible moment. Stale information there is worse than none.

Some troops let members fix their own details, and some keep it with the leaders. If you see an Edit button, you can change it yourself. If you do not, send the correction to a leader — it takes them a minute.

3

Set your preferences

Further down is a Preferences box. Four settings, and they only change things for you.

Time Format. Show times as 3:00 PM or as 15:00.

Default App After Login. Land on the full Desktop dashboard, or go straight to the phone version with Scout App.

Default RSVP Payment. When an event costs money, start with Out of pocket or with Family account. You can still change it event by event.

Email Notifications. Choose what lands in your inbox. You can turn off troop broadcasts on their own, or stop every email at once.

Tap Save preferences when you are done. Nothing here saves on its own.

Sign in with your face. Or your fingerprint.

A passkey lets you sign in with Face ID, Touch ID, Windows Hello, or your device PIN. There is no password to forget, and nothing to type on a phone in the rain.

  1. On your own page, find the Login & Access box and choose Manage passkeys.
  2. Choose Add passkey. Your device asks you to confirm, the same way it does when you buy something.
  3. Give it a name that tells you which device it is, like Mom's iPhone. You will thank yourself later.
  4. Next time you sign in, choose Sign in with a passkey instead of typing anything.
One per deviceAdd a passkey on each device you use. The phone one does not work on the laptop.
Still have a passwordA passkey does not remove your password. Both keep working.
Lost the phone?Remove that passkey from any other device. Whoever holds the phone still needs your face or your PIN.
Not on every browserVery old browsers do not support passkeys. You will be told plainly if yours cannot.
4

Passwords and remembered devices

The same Login & Access box holds two more buttons.

Change password does what it says. You need your current one.

Manage sessions lists every device where you checked Remember me. Each row names the device and when it was last used, and the one you are on now is marked This device. Tap Revoke to sign out one, or Revoke all to sign out all of them.

Worried somebody else has been in your account? Just change your password. That signs out every remembered device on its own, so you do not have to hunt through the list.

5

Put troop events in your own calendar

The Calendar Subscription box gives you a web address that any calendar app can read. Add it once, and troop events show up beside your work meetings and your other children's football. New events appear on their own.

Tap Copy to take the address, then follow the short list of steps on the page for Google Calendar, Apple Calendar or Outlook.

The feed is personal. It carries exactly the events you are allowed to see, and nothing else.

Treat that address like a password. Anyone who has it can read your troop calendar. If it gets out, tap Regenerate Token for a fresh one, or Revoke Access to switch it off for good.

When it doesn't work

Start at the top — the first two catch most of it.

What happened What to do
TroopPlanner never emails me Check the address on your own page first, then your spam folder, then Email Notifications in Preferences — you may have turned that kind of message off.
There is no Edit button on my details Your troop keeps member records with the leaders. Send them the correction instead.
My preferences went back to how they were They were never saved. The Save preferences button at the bottom of that box has to be tapped.
The passkey button does nothing Very old browsers cannot do passkeys, and the page says so when yours cannot. Update the browser, or carry on with your password.
I think somebody else is in my account Change your password. That signs out every remembered device by itself. Then look at Manage passkeys and remove anything you do not recognize.
My calendar stopped updating Somebody regenerated or revoked the feed. Copy the address again from your page and re-add it in your calendar app.
Troop events show at the wrong time That is your calendar app's time zone, not TroopPlanner's. Check the time zone set on your phone or computer.
New to the troop? Do these three in order: fix your email address, add a passkey, subscribe to the calendar. Everything else can wait.
