Every registered adult has a training record in TroopPlanner. Most of it simply sits there as a record. One entry does more than that, and it is the one worth keeping an eye on.
Tap your name in the top bar to open your own page. Scroll to the Training card.
On your own page you also get a Training Alerts card. That one lists anything expired or close to it, and nobody else sees it. If it is empty, you are in good order.
Leaders looking after everybody's records want Members → Adults → the Training tab instead, which is the whole troop at once.
An adult's record is grouped by the job it belongs to, not thrown into one long list. Each group shows where you stand:
Trained Everything that job needs is on file.
Not started Nothing on file for it yet.
2 of 3 Part way. Open the group to see which course is missing.
Open a group and you get every course it asks for, with the date you finished it, or — not recorded where there is nothing.
Courses that belong to no job you hold still appear, gathered under Other Training. Nothing is thrown away.
Safeguarding Youth Training is required of every registered adult, and since BSA's 2025 change it runs out twelve months after you take it. Not two years. Not three. Every year.
Each course knows its own rule, and the two behave differently on purpose.
Courses that expire — SYT above all. Each time you retake one, a new record is added and the old one is kept. Your history stays intact, which matters when somebody asks what you held two years ago.
Courses that never expire — Introduction to Outdoor Leader Skills, for example. Take it once and it stands. Re-entering it updates the record you already have rather than stacking up copies.
So a long list of the same course is normal for the first kind and a sign of a mistake for the second.
TroopPlanner does not talk to my.scouting.org. Somebody has to bring the dates across, and there are two ways.
By hand. A leader adds a record to your page: which course, the date you finished, and an expiry date if it needs one.
In bulk. Your troop can download a report from my.scouting.org and upload it, which brings the whole troop up to date in one go. TroopPlanner works out the format on its own, shows what it matched before anything is saved, and lists anything it could not place.
Rows it cannot match a member to, or a course it does not recognize, are skipped and reported rather than guessed at. So a clean import is not the same as a complete one — read the summary.
Nearly always a date that never made it across.
| What happened | What to do |
|---|---|
| It warns me about my training when I write to the Scouts | Your SYT has lapsed. The message will still send — the warning is there so you know. Renew it, and ask a leader to record the new date. |
| I took SYT last month and it still says expired | Nothing comes across from my.scouting.org on its own. Ask a leader to add the record or run a training import. |
| My record says Not started for a course I have done | Same answer: it has not been entered here. Send a leader the completion date. |
| The expiry date looks wrong | It is worked out from the completion date and the course's own term. If the completion date is wrong, fixing that fixes both. |
| A course I have taken is not in the list at all | Your troop's catalog may not carry it yet. An administrator can add a course type under the troop's data settings. |
| We imported and some people were missed | Read the import summary. Rows are skipped when the member cannot be matched or the course code is not recognized, and every one is listed. |
| The same course appears several times | Normal for a course that expires — the history is kept on purpose. For one that never expires it is a duplicate; ask a leader to tidy it. |
